Enterprise Console
For the Platform Admin.
Tenant-wide governance: every AI worker, integration, route, credential and approval, with a complete audit trail across the estate.
VIAKA CORE puts AI workers to work on real tasks - reviewing invoices, triaging casework, drafting responses - with the same roles, approvals and audit trail you already apply to people. Admins govern the estate, owners run each workspace, and managers supervise their assigned AI workers, all from one secure login.
For the Platform Admin.
Tenant-wide governance: every AI worker, integration, route, credential and approval, with a complete audit trail across the estate.
For the Head of Shared Services.
Run one workspace: manage its AI workers, monitor workload, approve decisions and export evidence - all inside a governed boundary.
For the Front-line Manager.
Supervise only your assigned AI workers: track their workload, chat with them, approve decisions and step in on exceptions.
VIAKA CORE mirrors how UK enterprises already organise work: a tenant-wide Enterprise Console, workspace-owned operating surfaces, and line managers supervising day-to-day AI workforce operations.
The same identity, policy and evidence model spans all three portals. AI Assets, Workforce Nodes, Gateways, Integrations, Credential Profiles, knowledge packs, control gates and approvals all emit structured events into a tenant-wide audit bus.
VIAKA CORE does not ship as three separate applications. It ships as one platform with one identity model. The portal a user sees depends on the role assigned to them, and every action flows into the same tenant-wide audit bus.
Every permission is checked on the server, so hiding a button is never the thing keeping users out. Access to each workspace, AI worker, route and knowledge pack is granted by ownership and assignment - and any blocked attempt generates an audit event.
Each role sees a different surface over the same platform. Admins govern the whole estate, owners run a single workspace, and managers supervise only the AI workers assigned to them - with shared routing and one audit trail underneath.
The Enterprise Console is the board-level operating view of AI Assets, Workforce Nodes, Workflow Engine mappings, Integrations, Credential Profiles, Gateways, Gateway Broker route policies, Control Gates, Trust Centre and audit evidence.
The Workspace Owner Portal is a workspace-scoped command surface for operational ownership of deployed Workforce Nodes, workload, approvals and evidence inside a governed workspace boundary.
The Line Manager Portal is a deliberately constrained operating view for managers of assigned Workforce Nodes, exceptions and approval decisions only.
Every conversation runs through the same Gateway Broker routing, RBAC entitlements and Audit Event Bus as the rest of the platform - integrated with the connectors your role actually permits, organised into folders and shared team projects, with anything that needs a human decision routed to Approvals.
Every chat runs through the governed default AI Provider Gateway - the same routing, RBAC and audit trail as the rest of the platform, never a separate, ungoverned AI tool.
Chat reaches your real integrations - Excel, SharePoint, secure IMAP mailboxes, Xero and more - scoped to exactly what each user’s role permits, nothing more.
A shared chat surface for a whole workspace - shared folders, a shared Library and shared conversation history, routed through that workspace’s own Gateway Broker route.
Folders, a Library for files, and a Recents view for anything not yet filed - conversations stay organised, and workspace chats can never cross into personal space.
Capability access is checked on the server against each user’s RBAC entitlements, not just hidden in the interface - if a capability isn’t permitted, the request is blocked and logged.
Anything that needs a human decision - a write, a gated capability - routes straight to the Approvals Inbox, scoped by role, with the outcome logged back into the same audit trail as everything else.
Controlled AI support for casework, service operations, knowledge retrieval and policy-bound workflows.
Governed AI Assets for review, exceptions, compliance support and back-office productivity.
Contract, policy and evidence workflows with review gates and accountable outputs.
AI workforce coordination across HR, finance, procurement, operations and internal service teams, with Gateway Broker routing and audit evidence.
AI deployment with ownership, policy, approval and event evidence visible from day one.
A repeatable model for moving from first deployment to a managed AI workforce portfolio.
The first deployment should produce measurable operational value, control evidence and a credible route to wider production use. v1.86 includes Gateway Broker routing, AI-capable Integration selection, output overlay/PDF evidence and secret scrubbing.
Define workflow, users, data class, policy boundary, Integration routes and evidence success criteria.
VIAKA prepares the tenant, portals, Workforce Node, Gateway Broker routes, Credential Profiles, policy and approval route.
Export outcomes, exceptions, approvals, output overlay/PDF evidence and the board-ready scale case.
The shared-login model moves the conversation away from installation and towards workflow value, user roles, route governance, credential readiness, evidence and scale decision criteria.
A pilot is a fixed-scope engagement on a VIAKA-managed tenant: one workflow, defined users and agreed success criteria, set up front. No per-seat surprises and no platform build cost on your side. Talk to us for current pilot pricing.
VIAKA CORE is positioned around UK data residency, identity, server-side RBAC, object-level access, Credential Profiles, Gateway Broker routing, output evidence and a documented compliance roadmap.
Azure UK South / IONOS UK by default. No data leaves the UK without explicit customer opt-in.
Deployment phase: VIAKA-managed dedicated single-tenant per customer. Production: VIAKA-managed dedicated, shared multi-tenant, or customer-hosted options.
Production SSO via Microsoft Entra ID / Google Workspace. Controlled email/password access is available for early deployment review. Object-level access scoped by workspace, Workforce Node, Gateway, Credential Profile and knowledge-pack assignment.
Every material action across every portal emits a structured audit event. Workflow run outputs, overlays and PDFs use redacted runtime results so evidence can be reviewed without exposing credential payloads.
ISO 27001 Stage 1, Cyber Essentials Plus, NHS DTAC posture, DPIA support, DPA availability and EU AI Act record-keeping alignment.
OpenAI is supported as the current AI route target, with gpt-4.1-mini available as a supported model and optional project/organisation fields. Other providers remain available per tenant roadmap and governance policy.
Permissions are checked on the server, so no one reaches anything by getting past the interface - if the platform says no, the action is blocked and logged. And secrets stay secret: API keys, tokens and credentials are stripped out before anything is shown on screen, saved, or exported to a PDF, so they never end up in your audit evidence.
Policy Packs, the Approvals Inbox, Control Gates and the Audit Log sit alongside AI Assurance (Internal Audit of AI use and misuse) and the FOI Requests Manager (statutory Freedom of Information casework) - every one of them reading the same real evidence, not a separate silo.
Policy packs governing AI output, approvals and data handling - bound to workspaces and Workforce Nodes.
Decisions for gated AI actions, scoped by role: tenant, workspace, or manager.
Human-in-the-loop gates applied automatically to high-impact actions before they execute.
Tenant-wide, immutable evidence of every governed action - the Audit Event Bus every other Govern feature draws from.
Internal Audit cases scoped strictly to AI use or misuse within the organisation - general use reviews and specific incidents.
Freedom of Information case handling for Public body tenants - deadlines, exemptions and evidence, in one workflow.
Enterprise AI adoption is moving faster than most operating models can govern. VIAKA CORE v1.86 gives organisations the structure to deploy AI workers with the same discipline they apply to human teams: ownership, permission, policy, Gateway Broker routing, credential readiness, approval and evidence.
